TERMS AND CONDITIONS

GENERAL TERMS AND CONDITIONS WITH RESPECT TO THE LEO EUROPA FORUM 2025 (“LEF 2025” or “LEF”) AND THE LEO EUROPA PRE-FORUM 2025 “LEPF” or “LEPF 2025”).

These General Terms and Conditions are applicable to any Participant of LEO EUROPA FORUM / LEO EUROPA PRE-FORUM 2025 (“Participant“).

By “you” or “your” we mean the “Participant”.

By “us”, “we”, and “LEF”, we mean Leo Europa Forum 2025, being a non-profit association registered in France under the association number W595042137 and having its registered office at “Appartement 117, 6 rue du Parc, 59110 LA MADELEINE, FRANCE”.


By registering for an event or conference organized by LEF, you are agreeing to comply with these terms and conditions. You should therefore read this document carefully.


The Participant for the LEPF 2025 must have reached the age of 18 before January 17, 2025.

The Participant for the LEF 2025 must have reached the age of 18 before August 23, 2025.

The Participant agrees to follow and respect the house rules of “MERCURE LILLE AEROPORT”, 110, rue Jean Jaurès 59810 LESQUIN.

The LEF and LEPF 2025 organizing committee (“Orga-Team“) reserves the right to exclude individual Participants from parts or the entire LEPF 2025 program or LEF 2025 program if they behave violently or disrespectfully towards other Participants, the Orga-Team, volunteers, hotel staff, tours staff or any other guests, or if the Participant was banned at a previous LEF. This is to the judgment of the Orga-Team only.

The Participant confirms that all statements made in the registration form are correct. Additional costs that might occur by providing false information in the registration are the responsibility of the Participant.


The Participant attends LEPF 2025 and LEF 2025 at his/her own risk and responsibility. The Orga-Team, the hotel, hotel staff, tours staff and the volunteers can under no circumstances be held liable for any damage caused by the Participant nor for theft and/or damage of belongings, or other damages.

The Participant shall be held personally liable for any damage caused by the Participant, including but not limited to damage caused to the hotel (building), materials, or other attendees.


3.1 - LEO EUROPA PRE-FORUM

Registration for the LEPF 2025 can be completed upon:

Normal Registration from September 22, 2024, 19:00 CET to November 30, 2024 23:59 CET

Early Registration for DL & ILOs starts September 21, 2024, 19:00 CET

Registration fees:

Quadruple room: EUR 250

Double room: EUR 300

Single room: EUR 390

An additional fee of EUR 200 will be applied for any participant aged 35 or over.

The registration fee includes the hotel accommodation, full-board meals, transportation according to the website and the presented program of LEPF 2025.

Limitations:
Registration is available for 100 spots. If necessary, we could add more places in accordance with the possibilities.


3.2 - LEO EUROPA FORUM

Registration for the LEF 2025 can be completed upon:

Normal Registration from February 22 2025, 19:00 CET to July 1st 23:59 CET

Early Registration for DL & ILOs starts February 21 2025, 19:00 CET

Registration fees:

Quadruple room: EUR 650

Double room: EUR 895

Single room: EUR 1385

An additional fee of EUR 350 will be applied for any participant aged 35 or over.

The registration fee includes the hotel accommodation, full-board meals, transportation according to the website and the presented program of LEF 2025.

Limitations:
Registration is available for 200 spots. If necessary, we could add more places in accordance with the possibilities.


3.3 - Process of registration

The Participants are required to answer all mandatory questions requested in the registration forms.

Upon submission of the LEPF or LEF 2025 registration, the Orga-Team will process the submission. If the submission is approved, a spot will be reserved for the Participant and an email with payment instructions will be sent to the Participant. If the submission is rejected, the Participant will receive a rejection email. In case the submission is approved but no more spots are available, the Participant will be placed on a waiting list and will be informed accordingly about the next steps.

The registration is deemed to be completed upon receipt of the full participation fee on the LEF 2025 bank account.

If the payment has not been credited to the LEF 2025’s bank account within 14 calendar days after having received the confirmation email, the registration will be cancelled, and the registration spot will become available to other applicants (primarily to the ones on the waiting list). It’s the Participant’s responsibility to pay the participation fee. The LEF 2025 association can under no circumstances be held liable for any costs or expenses.

All payments have to be made free of charge to the LEF 2025 association and by bank transfer to the official bank account of the LEF 2025. Within two weeks after having received the payment, the Orga-Team will send a confirmation of receipt to the Participant.

If there are any fees for receiving the bank transfer, they are to be paid upon arrival.

Only bank transfer payments will be accepted.


Regretfully, due to the hotel’s policy, we cannot provide a refund on this occasion. We inform everyone that once paid, their spot is no longer refundable. Therefore, by completing the purchase of your spot, you agree to these terms and conditions.  


We only issue an invitation letter after having received the full payment for the registration, which is mandatory after registration.


We are committed to data privacy and protecting your personal information. By submitting your e-mail address during the event registration process, you agree that LEF and its event partners are allowed to send you event-related information. A valid e-mail address is required for all registrations.

We use the personal data you provide in this registration for administering your participation in the event. This may include information about the event’s content, event logistics, payment, updates, and additional information related to the event.

We may disclose your personal data to third-party service providers affiliated with LEF to assist in the conduct of the event (e.g. hotel). The information you provide when registering for or participating in an event managed or co-sponsored by parties other than or in addition to LEF may be shared with those parties, and the treatment of such information is further subject to the privacy policies of those parties. Except as described herein, LEF will not disclose your personal data to any other third party without your consent, except where required to do so by law.


We are committed to providing a safe, productive, and welcoming environment to all participants, including the Orga-Team and hotel employees. We do not tolerate any forms of discrimination, moral or sexual harassment, bullying or all types of violence at LEF 2025-related events. Participants are expected to adhere to these principles and respect the rights of others.

The use of drugs, other than alcohol, is forbidden during LEPF 2025 and LEF 2025.

The usage and bearing of weapons of any kind is not allowed under any circumstances during LEPF 2025 and LEF 2025.

The participants will respect the schedule indicated by the orga-team. If a participant is late for the departure of a bus or any other transport, the orga-team reserves the right not to wait for him. The participant must then ensure their transport under his entire responsibility and at his own expense.

The participants are not allowed to hold any party in their hotel room due to the hotel’s policy. 

However, if a participant organize a room party in his room, contrary of this prohibition, he would remain personally responsible towards the hotel and would assume all the consequences decided by the hotel, which could go as far as exclusion from the hotel. In case of exclusion by the hotel, the participant will have to relocate himself and at its own expense, the orga-team will not provide any reimbursement or compensation.

The participants will follow any instructions or orders given by the Orga-Team, volunteers or hotel staff. In the event that the participants fail to follow these instructions, resulting in loss or damage, including but not limited to damage caused to the hotel (building), materials, or other participants, the party/person will be held liable for said loss or damage.

In case an Orga-Team member or hotel employee suspects or observes a breach of the event conduct and/or safety regulations, the Orga-Team reserves the right to exclude the participant immediately from the event and he will need to leave the hotel.

In this instance, the participant will not get any refund and will bear all additional costs and expenses him-/herself.

In addition, the LEO leaders of the country from which this participant comes from will be duly informed by official letter from the Orga-team, inviting them to take any disciplinary measures they deem necessary.

Finally, the participant may be banned from future LEO Europa Forums, in agreement with the ILO Council and the Delegation Leaders.


What to do if you witness or are subject to unacceptable behavior: Participants should report any behavior inconsistent with these principles to the Orga-Team. The Orga-Team will be happy to help participants contact venue security or local law enforcement, provide escorts, or otherwise assist those experiencing harassment to feel safe for the duration of the event. We value your attendance.

To comply with global data privacy laws, LEF 2025 imposes certain restrictions on the use of multimedia at its events (e.g. photography, video, audio, online streaming, and all future mediums). An attendee is permitted to use hand-held cameras and/or smartphones to take photographs and capture digital images for personal, non-commercial use, provided the photography is not disruptive. Photographs may not be published, sold, reproduced, transmitted, distributed or otherwise commercially exploited in any manner whatsoever.

LEF 2025 may hire professional service providers (photo/video/streaming/audio) to document and display the event experience. LEF 2025 may also use social media (e.g. Instagram) to: (i) post real-time photos and videos on its social media feeds; and (ii) display select submissions from those feeds on monitors throughout the event venue. Participants and sponsors are encouraged to capture their event experiences and post their own social content from the event (text, photos, audio, video, streaming), provided it does not infringe the rights of any attendee, sponsor, third party, or LEF 2025. Such infringement would include, but is not limited to, defamation or infringement of intellectual property rights. In the event an attendee requires a release or permission to protect the rights of a third party, obtaining such a release or permission shall be the sole responsibility of the attendee.

By attending the event, you acknowledge and agree as follows: (a) LEF may edit and use footage it captures at the event for marketing and promotional activities and for any other lawful purpose in the ordinary course of its business; and (b) due to the prevalence of mobile recording devices in today’s world, LEF 2025 disclaims all liability for the capture of your image in any multimedia format by other attendees at the event.


LEF 2025 reserves the right to change, amend, add or remove any of the above Terms & Conditions provisions in its sole discretion and without prior notice. In case one or more of the conditions outlined in these Terms & Conditions become invalid, the remaining conditions will continue to be valid and apply. These Terms & Conditions apply to all event participants (attendees, speakers, sponsors, exhibitors).

The views expressed by any event attendee, speaker, exhibitor, or sponsor are not necessarily those of LEF 2025. All attendees, speakers, exhibitors, and sponsors are solely responsible for the content of all individual or corporation presentations, marketing collateral, and/or advertising.

These Terms and Conditions are subject to the French legal system. For disputes regarding the applicability or interpretation of these Terms and Conditions, the jurisdiction is Lille, France.
